UK SOFTWARE FIELD GUIDE
Prove operational software with real UK workflows
A buying framework for project management, analytics, business phones and appointment systems.
Choose a business outcome and a test
Start with a measurable problem: projects slip because dependencies are hidden; managers cannot reconcile sales reports; callers reach the wrong team; or appointments require too much manual coordination. Name the outcome, the people involved and the records that establish success. Then build a short trial around that outcome. Do not require every supplier to imitate your current interface. Require each one to complete the same business scenario, explain its limits and provide a realistic implementation proposal. This makes an impressive demonstration easier to distinguish from a useful operating system.
- Choose three routine scenarios and two difficult exceptions.
- Record the proposed plan beside every demonstrated feature.
Make project depth visible
Load a representative project with dependencies, shared staff, external reviewers and a fixed milestone. Delay an upstream task and remove a key person for a week. Watch how the project owner finds the impact, reallocates work and communicates the new plan. Check whether time tracking can be reconciled with estimates, and whether any financial view really includes the rates and costs you need. Test guest access from a separate account. AI summaries should accurately include the changed risk and overdue work, with a clear route back to the task records.
- Price paid guests, portfolio controls and automation allowances.
- Export a project and inspect whether important relationships survive.
Test analytics with inconvenient data
Give each analytics supplier the same imperfect data: duplicate customer identifiers, a late transaction, a renamed field and a row that one team must not see. Agree the definition of each metric before comparing charts. Test a scheduled refresh, a failure notification and a restricted viewer account. Microsoft and Tableau both document row-level controls with implementation conditions; the presence of a feature alone does not establish your configuration. Ask a natural-language question whose answer you already know, then inspect the filters and definitions used. Include the cost of viewers, capacity and AI in the calculation.
- Measure refresh latency and report response with realistic volumes.
- Validate downloads and external sharing separately from the dashboard view.
Plan UK phone migration as an operational change
Current UK Government guidance expects most analogue landline migrations by the end of January 2027. Ask your provider for the schedule that applies to your organisation. Inventory every connected device, including alarms, lifts and other equipment that is easy to miss when reviewing office handsets. Check number ownership, porting responsibilities and contract overlap. Demonstrate closed-hours routing and the way calls reach people during a connectivity failure. Include emergency-calling arrangements and remote staff. For AI agents, try an ambiguous request and an unhappy caller, then observe whether the handover preserves useful context.
- Confirm compatibility with the equipment supplier as well as the phone provider.
- Separate core calling, contact-centre licences, recording storage and AI minutes.
Follow an appointment from booking to reconciliation
Use a real service pattern without real customer data. Book the right staff member, add a prerequisite form, take a deposit, reschedule and then cancel. Reconcile the payment and any refund against the booking record. A salon may need packages, staff-specific prices and shared equipment; a consulting team may value host availability and CRM routing instead. Both can use online scheduling, but they should not receive identical suitability judgements. Examine customer sign-in requirements, mobile usability and messages at every step. Request the current UK payment and settlement terms rather than assuming another country's offering applies.
- Compare subscription, messaging, processing and marketplace acquisition charges separately.
- Ask for a reusable client and appointment export before migration.
Turn evidence into a purchase decision
Keep a short decision record showing the chosen workflow, its evidence, its cost and any unresolved limitation. An unknown in a comparison is a question for the supplier, not proof of absence. A documented capability is a reason to test, not proof of quality. Ask for a second demonstration where the first was inconclusive. Agree implementation owners, acceptance dates and an exit route. After launch, review the original business outcome rather than just login counts, and keep the configuration and pricing assumptions available for the next renewal.
- Recheck usage allowances against expected growth.
- Assign responsibility for reviewing AI errors and changed product terms.
