ASK BETTER QUESTIONS

Before you buy procurement & purchase-to-pay software.

What to look for

  • Demonstrate a purchase above budget, an absent approver and a short delivery.
  • Keep supplier master data, accounting codes and ownership explicit during integration design.
  • Ask which modules and transaction volumes are included in the written quote.

What changes the cost

  • Named requesters and approvers, invoice volume and document storage.
  • Additional entities, supplier portals, punch-outs and finance connectors.
  • Approval design, supplier migration, onboarding and ongoing administration.
Model your budget โ†’

What to watch out for

  • Treating an invoice approval tool as evidence of complete purchase-to-pay coverage.
  • Assuming AI automatically has permission to place orders.
  • Using a G-Cloud framework price as an unrestricted commercial price.

Common questions

How is this different from spend management?

Procurement compares requests, orders, receiving and supplier invoice control. Spend management commonly adds cards and employee expenses; overlaps do not make the workflows interchangeable.

Does three-way matching guarantee correct payment?

No. It depends on accurate orders, receipts, tolerances and exceptions. Ask for a worked discrepancy using your own rules.

Are optional modules penalised?

A documented capability can receive full feature credit when sold separately. Its extra cost and implementation dependency must still be visible.
